Questions and answers
What is Quilane?
Quilane is the steering cockpit for an organisation's AI transformation: an app in which leadership and its AI council see every AI use case across departments, measured on maturity, adoption and capture, with spend set against value. Leadership decides from it what to build, scale, automate or stop, and every change is recorded.
Who is Quilane for?
Quilane is for an organisation's leadership and its AI council. It serves the executive accountable for the AI transformation, and the council chair or head of AI who runs the steering cycle. Inside Quilane, the council works with three roles: chair, ambassador and viewer.
How does data get into Quilane?
Usage, costs and new use case proposals are imported through standardised files. Your organisation prepares them with generated prompts, from its AI tools' exports, which list the user, the date and the activity. Imports are file based: there is no automatic or live sync.
Does Quilane connect to Microsoft 365 Copilot?
No. Quilane has no live connection to Microsoft 365 Copilot or other tools: imports are file based, prepared with generated prompts from AI tool exports that list the user, the date and the activity. Imports of Microsoft 365 Copilot activity and Copilot agent usage are planned.
Can we export our data out of Quilane?
Quilane exports to Excel and CSV, with spreadsheet formulas neutralised.
What does "maturity" mean in Quilane?
Maturity is measured per use case, in four levels defined by the human's role: L1 Manual, L2 Semi-auto, L3 Agentic and L4 Autonomous. Each client can rename the levels and change their descriptions; there are always four. Maturity is one of three separate measures, next to adoption and capture.
Department maturity has two readings, for every department and the whole organisation. Built is the capability a department has put in place: the average level of the live, adopted use cases it owns. Used is the level of the use cases a department's people actually used in the last 30 days, weighted by people. Both are shown for every department. Used appears only where at least 5 people are behind it. Built above Used: the level in place is higher than the level people work at. Used above Built: people work at a higher level than their department's own use cases, on use cases other departments or the Global department own. Either way, the gap is a place to look first.
How is Quilane different from the usage reports our AI vendors already give us?
Quilane keeps one shared view of every AI use case across departments, measures each one the same way, and brings it to your AI council. Its import files are prepared from your AI tools' exports.
Does Quilane prove that AI created value?
No. It sets spend against value: value captured, cost per tool, net value, return and idle spend over the last 12 months. Capture compares actual value with expected value for each use case. Quilane shows these figures; it does not prove that AI caused a business result.
Does Quilane decide or recommend what to build, scale, automate or stop?
No. Leadership decides, through its AI council. Quilane sets out the evidence: each use case measured on maturity, adoption and capture, with spend set against value. Use cases that are frequent, proven and still manual are flagged for automation, and the council confirms or rejects each one, with a reason.
Does Quilane store what employees write to AI tools?
No. No conversation content is stored. Quilane works from usage records: who used an AI tool, when, and for which activity.
How do employees appear in the usage data?
Employees appear in usage only under pseudonymised identifiers, and people counts under a minimum group size are never shown to viewers.
Where is the data hosted, and is it kept apart from other clients' data?
Quilane is hosted in the European Union. Each client's data is isolated from every other client's.
Is Quilane an AI register?
No. Quilane complements the AI register you keep. It keeps one shared view of every AI use case across departments, for your AI council.
Which sign-in does Quilane support? We use Google Workspace.
At launch, people sign in with Microsoft, and your own Microsoft administrator sets up your organisation's space. Google Workspace sign-in and directory are planned.
Can employees see their own AI use?
Yes, in My AI. Each employee sees their own adoption, time saved and maturity, and nobody else does. It is optional: each employee can hide their usage at any time. Quilane opens My AI per organisation, after its impact assessment, works council information and employee notice.
How do we get started?
Your Microsoft administrator registers the app in your own directory and creates your organisation's space. Your organisation prepares and imports its files. Your AI council, working with the roles of chair, ambassador and viewer, accepts new use case proposals and meets on its agenda.
Is Quilane certified (ISO 27001, SOC 2)? Is it GDPR compliant?
Quilane does not claim any certification or legal conformity. The Trust page and the security and privacy sheet set out what Quilane holds, how access works and where data is hosted. Bring further questions to a demo.
How much does Quilane cost?
Pricing is not published. It is discussed in a demo.
