From the decision to your first council
Your own Microsoft administrator sets up your organisation's space. Your organisation prepares files from the exports its AI tools produce. Then your AI council meets on its agenda. This page describes how a start works at launch.
Who you need
These are the people in your organisation involved in the start.
A Microsoft administrator: registers the app in your own directory and creates your organisation's space.
Your AI council: accepts new use case proposals and meets on its agenda.
People in three roles: a chair, ambassadors and viewers.
The steps, in order
Set up your organisation's space
Your Microsoft administrator registers the app in your own directory and creates your organisation's space. At launch, people sign in with Microsoft; Google Workspace sign-in is planned. Access ends when your organisation disables the account.
The council's three roles
The council works with three roles: chair, ambassador and viewer. Roles are enforced on the server, and the change log records who changed what, when, from and to.
Prepare and import your files
Usage, costs and new use case proposals are imported through standardised files. Your organisation prepares them with generated prompts, from its AI tools' exports, which list the user, the date and the activity. Imports are file based. No conversation content is stored, and employees appear in usage only under pseudonymised identifiers.
The council accepts proposals
New use case proposals arrive grouped by business purpose. Their usage waits until the council accepts them. Each use case is measured on maturity, adoption and capture.
Hold your first council
Your council meets on its agenda in Quilane. From then on, each council starts from what moved since the last one, what needs a decision, and which rules changed.
Planned: Google Workspace sign-in
At launch, people sign in with Microsoft. For organisations on Google Workspace, sign-in and directory are planned. They are not part of Quilane at launch.
Walk through these steps in a demo
Quilane is available at launch. In a demo, we walk through these steps on the sample workspace.
